Tax Checklist for Truck Drivers

Trucking companies and fleets: use this list to gather what we need for your tax return. Not everything applies to everyone; tick what you have and upload it to the client portal.

Taxes for truck drivers and logistics →

About you and your business

Last year’s tax returns (if we did not prepare them)
Company documents: EIN letter, LLC or S corporation papers, and any changes during the year
Whether you run under your own authority or lease on to a carrier
Any IRS or state letters you received during the year

Income

Forms 1099-NEC and 1099-MISC from carriers and brokers
Settlement statements for the whole year
Factoring company statements
Form 1099-K from payment apps or card processors, if any
Business bank and credit card statements for the year

Truck and trailer

Purchase or lease agreement, bill of sale, and date placed in service for each truck and trailer
Loan statements showing interest paid
Documents for any truck you sold or traded in
Total miles driven for the year

Operating expenses

Fuel card statements and fuel receipts
Repairs, maintenance, and tires
Insurance: liability, cargo, physical damage, bobtail, and occupational accident
Tolls, scales, parking, and truck washes
Plates, permits, and fees: IRP, UCR, IFTA decals, and DOT or MC filings
ELD, dispatch, load board, factoring, and lumper fees
Phone and internet used for the business
DOT physicals and drug tests

Per diem (days away from home)

ELD or logbook records showing the days and nights you were away from home
Your home address for the year (where you return between trips)

Taxes already paid and filed

Stamped Schedule 1 of Form 2290, as proof of the Heavy Highway Vehicle Use Tax you paid (it is deductible)
Copies of IFTA quarterly returns and payments you or your carrier filed
State highway taxes, for example New York HUT, Kentucky KYU, New Mexico, or Oregon
Federal and state estimated tax payments (dates and amounts)

Drivers and helpers

Payroll reports, W-2 and W-3 forms for employees
Names, addresses, and Forms W-9 of contractors you paid, for 1099-NEC forms

Personal items that also count

Health insurance premiums you paid yourself
Retirement contributions (SEP IRA, solo 401(k), IRA)
